As a Receptionist, you will be the first point of contact for our organization, handling various administrative tasks ranging from answering phone calls and emails, managing the calendar, to maintaining files and records.

    Responsibilities

    • Serve as the initial point of contact for the organization, managing inbound phone calls and directing them to the appropriate departments.
    • Provide exceptional customer service to all visitors, guiding and assisting them as necessary.
    • Stay informed about the organization's structure and departments to facilitate effective communication and operations.
    • Manage email correspondence efficiently, ensuring timely responses and follow-ups.
    • Collaborate with vendors, ensuring all necessary follow-ups are conducted.
    • Oversee the organization's master calendar, keeping it updated and communicating relevant updates to the team.
    • Handle all incoming mail and deliveries, ensuring they reach the correct recipients.
    • Maintain and update files, ensuring accurate record-keeping.
    • Scan and file documents electronically, maintaining an organized e-filing system.
    • Minimum of 3 years experience in a receptionist role or similar
    • Proven ability to perform receptionist duties such as answering and directing calls, greeting visitors, and handling inquiries
    • Proficiency in managing email correspondence, including sending, receiving, and organizing emails
    • Experience in distributing incoming mail promptly and accurately
    • Demonstrated skills in calendar management, including scheduling and rescheduling appointments
    • Ability to direct guests to appropriate areas or personnel within the organization
    • Demonstrated experience in assisting guests, providing information, and addressing their inquiries or concerns promptly and professionally
    • Prior experience in a non-profit setting is preferred but not required
