We are on the search for an Executive Assistant to join our team in the insurance industry, located in Seattle, Washington. As an Executive Assistant, your primary role will be to provide comprehensive administrative support to our executive team. This includes managing schedules, coordinating travel arrangements, and handling office tasks to ensure smooth operations.
Responsibilities:
• Prioritize and manage the schedule of executives to ensure optimal time management
• Coordinate and organize both domestic and international travel arrangements, crafting detailed itineraries
• Oversee the office filing system, ensuring organization and easy accessibility
• Professionally and courteously answer incoming phone calls, accurately taking and relaying messages as needed
• Handle confidential documents with the utmost discretion, maintaining their security
• Assist in bookkeeping by preparing invoices and financial statements
• Conduct research and compile data to prepare presentations or reports as needed
• Handle the inventory of office supplies, placing orders when necessary to maintain stock levels
• Utilize CRM, Concur, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and other tools for documentation and calendar management.
• Proven experience as an executive assistant or similar administrative role within the insurance industry.
• Proficiency in Microsoft Office Suites including Excel and Outlook.
• Familiarity with CRM software and tools.
• Experience with Concur for expense management.
• Ability to manage and coordinate calendars for C-Suite executives.
• Excellent communication skills for managing correspondence.
• Strong attention to detail for documentation tasks.
• Experience in supporting C-Suite executives.
• Understanding of Casualty Insurance industry is preferable.
• Ability to multitask and prioritize tasks effectively.
