We are offering a contract to perm employment opportunity for a Fleet Administrative Assistant in KANSAS CITY, Missouri. The role involves a variety of administrative tasks within the fleet department of an electrical contractor company. As an Administrative Assistant, you will ensure a high level of service for the support services provided to manage our fleet of assets.
Responsibilities:
• Efficiently sorting and managing the fleet email inbox, addressing incoming inquiries related to fleet operations.
• Assisting in the coordination of transport and setup of fleet vehicles, liaising with both internal teams and external vendors.
• Providing support in processing fleet rental requests, including the creation of purchase orders and coordination with vendors.
• Assisting in the maintenance and management of fleet fuel card systems, tracking transactions, and resolving discrepancies.
• Supporting the coding and processing of fleet-related invoices, ensuring accurate entry into the accounting system and proper matching with purchase orders.
• Responding to or forwarding emails concerning asset management, rentals, invoices, fuel card issues, and other fleet-related inquiries.
• Ensuring that fleet vehicles are properly set up, with the creation of purchase orders and coordination with vendors.
• Ensuring that fuel cards are distributed to the appropriate drivers and usage records are accurate.
• Assisting in resolving discrepancies and ensuring accurate coding for timely payment of invoices
• Demonstrated proficiency in Customer Service, able to handle customer queries and concerns effectively and with a detail-oriented approach.
• Ability to manage Email Correspondence, ensuring timely and accurate responses to internal and external communications.
• Experience in managing Inbound and Outbound Calls, ensuring all calls are dealt with in a detail-oriented manner.
• Proficiency in Microsoft Excel, capable of creating and managing spreadsheets, as well as analyzing data.
• Familiarity with Microsoft Outlook, capable of managing emails, scheduling appointments, and organizing tasks.
• Experience in scheduling appointments, ensuring that all meetings and events are organized and coordinated effectively.
• Knowledge of Fleet Vehicles, able to manage and maintain a fleet of vehicles for company use.
• Experience in Fleet Management, capable of organizing and overseeing a fleet of vehicles, ensuring they are maintained and used effectively.
