    We are offering a permanent employment opportunity for an Office Manager in New York. As an Office Manager, you will be tasked with overseeing administrative and secretarial tasks, managing financial records and cashflow for various projects, and providing basic accounting support. This role will also involve communication with vendors and assisting in setting up Special Purpose Vehicles.

    Responsibilities:

    • Oversee administrative and secretarial duties for team members including directors, vice presidents, and chief officers
    • Handle issuance of invoices and processing of payments to external entities
    • Oversee financial management for multiple Special Purpose Vehicles and keep relevant financial documentation
    • Manage cashflow and payments for a subsidiary of the company
    • Offer basic accounting support such as banking, book-keeping, and document filing
    • Record ledgers and financial outcomes of projects using internal accounting systems
    • Prepare reports and applications for internal approvals on expenses and vendor registration
    • Preserve business, accounting, and tax-related documents for record keeping
    • Engage with vendors via email or phone regarding invoices and payments
    • Assist in administrative tasks such as setting up SPVs and arranging business trips
    • Prepare business presentation materials and carry out general administrative duties
    • Oversee and track approved budget for third party vendors.
    • Proficiency in Accounting Software Systems is required.
    • Experience with ADP - Financial Services is necessary.
    • Ability to use Concur is critical.
    • Familiarity with CRM is needed.
    • Knowledge of Dentrix Dental Software is a must.
    • Proficiency in About Time software is beneficial.
    • Strong understanding of Accounting Functions is crucial.
    • Experience in handling Accounts Payable (AP) is expected.
    • Skills in managing Accounts Receivable (AR) are required.
    • Ability to handle Answering Inbound Calls effectively is essential.
