    We are offering a permanent employment opportunity for an Office Manager role based in Muskegon Heights, Michigan. As an Office Manager, you will be tasked with providing comprehensive administrative support, managing internal and external communications, and utilizing a variety of software systems to improve productivity. This position is highly dynamic and requires someone who can efficiently handle a multitude of administrative tasks in a fast-paced setting.

    Responsibilities:

    • Efficiently process, organize, and retrieve documents, ensuring a focus on simplicity and precision.
    • Provide seamless support to various teams by managing complex calendars, scheduling meetings, and coordinating daily priorities.
    • Utilize knowledge of software systems such as Microsoft Office, Google Suite, project management tools, and CRM to streamline operations.
    • Handle all sensitive, confidential information with utmost discretion and professionalism.
    • Serve as a point of contact for both internal and external communications, ensuring timely responses and appropriate follow-up.
    • Setup and manage all details of meetings and events, including preparation of agendas, taking minutes, and ensuring the timely completion of action items.
    • Proactively anticipate the needs of the team to prepare for upcoming tasks, priorities, and events.
    • Coordinate and oversee administrative-driven projects, ensuring deadlines are met and project goals are achieved.
    • Plan and manage intricate travel arrangements, including itineraries, logistics, and accommodations.
    • Proactively identify and address potential issues, focusing on finding solutions before problems arise.
    • Proficiency in Accounting Software Systems
    • Demonstrated experience with ADP - Financial Services
    • Familiarity with Concur software
    • Experience with CRM systems
    • Knowledge of Dentrix Dental Software
    • Proficiency in using About Time software
    • Understanding of basic Accounting Functions
    • Experience in handling Accounts Payable (AP)
    • Experience in managing Accounts Receivable (AR)
    • Ability to handle Answering Inbound Calls effectively
