We are seeking a Receptionist for our Detail Oriented Services industry team, situated in Middleton, Wisconsin. This role offers a short term contract employment opportunity. As a Receptionist, you will be the first point of contact for our company. Your duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
Responsibilities:
• Warmly welcome guests, answering their queries and directing them appropriately, maintaining a detail oriented and friendly demeanor.
• Efficiently manage incoming calls, ensuring they are redirected to the relevant departments.
• Oversee all incoming and outgoing mail, along with other correspondence like packages.
• Uphold cleanliness and organization in the reception area.
• Provide support in scheduling tasks, managing files, and performing data entry tasks.
• Assist team members with special project requirements as and when necessary.
• Handle multi-line phone system, ensuring efficient communication within the organization.
• Utilize Microsoft Office Suite (Word, Excel, Outlook) for various administrative tasks.
• Maintain an organized filing system for efficient data management.
• Schedule appointments as per team requirements and availability.
• Proficiency in answering a multi-line phone system is mandatory.
• Strong customer service skills are required.
• Must be competent in data entry tasks.
• Ability to handle email correspondence in a detail oriented and efficient manner.
• Strong interpersonal skills, with the ability to communicate effectively with all levels of staff and clients.
• Proficiency in Microsoft Excel is a must for managing and organizing data.
• Knowledge of Microsoft Outlook for managing detail oriented email communication and scheduling.
• Must be proficient in Microsoft Word for document creation and editing.
• Organizing files in a systematic and efficient manner is essential.
• Ability to schedule appointments effectively, ensuring smooth operations.
