We are offering an exciting opportunity for an Executive Assistant in the heart of Grand Rapids, Michigan. This role falls within the administrative function of the organization and offers a contract to permanent employment opportunity. The ideal candidate will be working closely with the team leader, managing their schedule, and ensuring smooth communication within the team.
Responsibilities:
• Manage leader's calendar, scheduling meetings, and appointments as necessary
• Facilitate communication with the team leader, ensuring they are updated on all necessary information
• Use software such as Microsoft Office, Google Suite, and possibly OpenAir for various tasks
• Handle customer inquiries, resolving issues efficiently and accurately
• Monitor customer accounts, taking appropriate action when necessary
• Use tools like ADP, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, and About Time for various tasks
• Participate in conference calls, ensuring all relevant information is relayed to the team leader
• Process customer credit applications, ensuring accuracy and efficiency
• Maintain accurate customer credit records, updating them as necessary
• Handle correspondence, ensuring all communication is responded to in a timely manner.
• Proficiency in ADP - Financial Services is required for accurate and efficient financial management.
• Familiarity with Cisco Webex Meetings is necessary for coordinating and managing virtual meetings.
• Experience with Concur is essential for handling travel and expense management.
• Proficiency in CRM software is critical for managing customer relationships and interactions.
• Knowledge of Kronos Timekeeping System is required for accurate tracking and management of employee time.
• Familiarity with About Time software is necessary for efficient project and resource management.
• Strong skills in Calendar Management are vital to effectively schedule and manage appointments and deadlines.
• Exceptional Communication skills are needed for clear and effective internal and external correspondence.
• Ability to manage Conference Calls is crucial for seamless communication with remote team members or clients.
• Proficiency in handling Correspondence is necessary for proper documentation and communication within and outside the organization.
