We are offering a contract for a permanent position as an Administrative Assistant located in Plainview, New York. This role is within a small accounting office catering to corporate clients, where the successful candidate will be responsible for various administrative tasks, including managing client communications and documentation, overseeing the tax return process, and handling light accounts receivable and payable duties.
Responsibilities:
• Handle client communications via email and phone calls, ensuring all inquiries and concerns are addressed promptly and professionally.
• Manage the transfer of the tax return process from paper-based to digital, ensuring seamless transition and accuracy in data transfer.
• Oversee the entire tax return process, from gathering information to processing, ensuring timely completion and compliance with regulations.
• Utilize technology and software for administrative tasks, such as data entry, downloading client levy, and processing bank statements.
• Maintain accurate records of client information and transactions, updating as necessary to ensure up-to-date information.
• Process light accounts receivable and payable tasks, ensuring all transactions are recorded accurately and timely.
• Monitor client accounts, taking appropriate action when necessary to ensure account health and client satisfaction.
• Possession of a high school diploma or equivalent.
• Proven experience as an administrative assistant or similar role.
• Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
• Excellent communication skills, both written and verbal.
• Strong organizational abilities with the capacity to multitask efficiently.
• Ability to work independently and as part of a team.
• Exceptional attention to detail and problem-solving skills.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Willingness to learn and adapt to new technologies and systems.
• Demonstrated ability to manage time effectively and meet deadlines.
• Familiarity with office equipment and administrative procedures.
• Proactive approach to identifying and resolving issues before they become problems.
