We are offering a short term contract employment opportunity for a Part Time Receptionist in the government sector, located in DORCHESTER, Massachusetts. As a Receptionist, you will be the first point of contact for our office, managing all incoming calls and visitors, as well as performing administrative tasks to ensure smooth office operations.
Responsibilities:
• Handle all incoming calls, directing them appropriately and taking detailed messages as required
• Welcome and assist all visitors, ensuring they are directed to the correct location within the office
• Oversee the inventory management of office supplies, initiating orders as necessary
• Liaise with the IT department to manage any office equipment issues or requirements
• Ensure cleanliness and organization of shared spaces such as the kitchen and conference rooms
• Manage and maintain office equipment, including printers and postage machines, addressing any issues and purchasing supplies as needed
• Process incoming and outgoing mail, including making trips to the post office as required
• Utilize software such as Microsoft Outlook/Office and Slack for effective in-office communication
• Perform data entry and email correspondence tasks as needed
• Schedule appointments and meetings, managing the office calendar efficiently
• Minimum of 1 year of experience in a receptionist role or similar
• Proficiency in answering a multi-line phone system
• Demonstrated ability in customer service
• Experience in data entry tasks
• Proficiency in email correspondence
• Strong interpersonal skills
• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Experience in organizing files
• Ability to schedule appointments effectively
