A client of ours is looking to hire an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.
Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. The incumbent manages a variety of special projects for C-Suite team members, some of which may have organizational impact.
What will you do?
• Coordinates travel, hotel, and transportation accommodations
• Coordinates all aspects of executive level appointments, meetings, receptions, conference calls and video conferencing
• Maintains frequently changing calendars through Outlook and understand Executive's priorities to effectively manage calendar
• Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO/COO
• Responds quickly, accurately and confidentially to internal and external inquiries in a courteous and professional manner
• Completes special projects as assigned
• Prepares and reviews materials and correspondence for meetings; ensures Executive is prepared
• Assists with creation/modification of presentations, spreadsheets and other various documents
• Actively demonstrates teamwork at all times
• Responsible for the security and privacy of any and all protected health information that may be accessed during normal work activities
We are looking for someone with:
• Minimum 5 years of experience supporting a C-level Executive
• Extensive experience booking travel
• Ability to draft correspondence on behalf of COO and team
• Ability to manage and maintain complex calendars and schedules and navigate appointments
• Ability to work collaboratively and thrive in a fast-paced, geographically dispersed, and rapidly changing environment
