We are offering a long-term contract employment opportunity for an Executive Assistant in the education industry, based in Amherst, Massachusetts, 01003, United States. In this role, you will be entrusted with a range of complex and confidential administrative tasks supporting a large University. You will also provide additional support to team members and assist in various special projects and initiatives on behalf of the group. Responsibilities:
• Overseeing the Dean’s schedule, ensuring all appointments and meetings are well-coordinated and timely
• Researching, compiling, and preparing reports and presentations as required
• Screening visitors and telephone calls, acting as a first point of contact
• Composing or preparing other correspondence ensuring the highest level of confidentiality and trust
• Maintaining paper and electronic files, ensuring they are up-to-date and easily accessible
• Managing and updating CRM system as per the needs of the organization
• Using Cisco Webex Meetings for organizing and conducting conference calls
• Proficiently using ADP - Financial Services for managing financial tasks
• Utilizing Concur for travel and expense management
• Handling timekeeping tasks using Kronos Timekeeping System and About Time
• Performing calendar management tasks ensuring no overlapping or missed appointments
• Managing communication flow within the organization efficiently.
• Executive Assistant position requires proficiency in ADP - Financial Services.
• Familiarity with Cisco Webex Meetings is essential for conducting virtual meetings and conferences.
• The candidate must have experience using Concur for travel and expense management.
• Knowledge of Customer Relationship Management (CRM) systems is necessary for effective client interaction and data management.
• The role demands expertise in the Kronos Timekeeping System for efficient workforce management.
• The candidate must be adept in using About Time software for accurate time tracking.
• Advanced Calendar Management skills are required for scheduling meetings, appointments, and events.
• Strong Communication skills are necessary for effective internal and external communication.
• The candidate must be skilled in managing Conference Calls, including scheduling, hosting, and troubleshooting.
• The role requires the ability to handle Correspondence professionally, including drafting, proofreading, and managing emails and letters.
