We are seeking an Administrative Assistant to join our team. This role involves a variety of administrative tasks in a dynamic environment. The Administrative Assistant will play a key role in ensuring smooth operations within our organization. This is a short term contract employment opportunity.
Responsibilities:
• Facilitate executive meetings, typically held on the second Wednesday of every month, ensuring all necessary arrangements are in place.
• Coordinate and manage the logistics of Board meetings, held on the fourth Wednesday of each month.
• Ensure accurate and timely refinement of minutes post-meetings for distribution.
• Assist in the preparation and organization of the Annual General Meeting, including the election of a new slate of directors.
• Provide support for the first meeting of the new Board of Directors.
• Manage inbound and outbound calls, providing excellent customer service.
• Handle data entry tasks with precision and accuracy.
• Ensure detail oriented email correspondence.
• Utilize Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) proficiently to complete tasks.
• Schedule appointments as needed, ensuring efficient time management.
• Minimum 3 years of experience as an Administrative Assistant or in a similar role
• Proficiency in handling and routing inbound and outbound calls
• Exceptional customer service skills, with a focus on providing prompt and friendly service
• Demonstrated ability in data entry, ensuring accuracy and attention to detail
• Experience with email correspondence, effectively managing and responding to various inquiries
• Skilled in the use of Microsoft Excel, with the ability to create, edit, and manage spreadsheets
• Proficient in Microsoft Outlook, particularly in managing emails, calendars, and contacts
• Good command of Microsoft PowerPoint, capable of creating and editing presentations
• Strong knowledge of Microsoft Word, with the ability to create, format, and edit documents
• Ability to efficiently schedule appointments, managing calendars to avoid conflicts and ensure punctuality.
